Military Academy. Automation of financial processes using government e-Invoices system integration.

The Challenge

This public finance sector entity faced the need for strict expenditure control while simultaneously digitizing its financial processes. Key challenges included manual transcription of data from paper and PDF invoices, which often led to errors in amounts, VAT values, and line items. An additional difficulty was the automated retrieval and verification of electronic invoices from the government e-Invoices system. The institution also required precise allocation of a single invoice across multiple funding sources (by percentage or value), while maintaining full consistency of totals.

The Solution

An advanced cost invoice tracking module was implemented as the central hub for financial document management. Key capabilities included separating the main invoice register from a “waiting queue” for documents retrieved from the government e-Invoices system, allowing full validation before entry into the workflow. The system periodically fetches invoices from the government e-Invoices system and email inboxes, automatically populating invoice headers and line items (price, unit of measure). Additionally, built-in validation mechanisms ensure consistency between line item totals and invoice headers, as well as correct allocation across funding sources.

The Results

The organization fully moved away from paper-based workflows and informal control practices. Thanks to OCR and integration with the government e-Invoices System, invoice registration time was reduced by 70%. The system also eliminated the risk of submitting incomplete or inconsistent invoices for approval, significantly improving financial control and data accuracy.
