The Challenge

ITB is a long-established construction research institute with 75 years of experience, producing thousands of reports, opinions, and technical assessments every year. To keep up with this scale, the institute needed better support for both scientific work and internal administration.

They implemented an IT system to digitize documentation, support research activities, automate key processes like invoices and employee requests, improve internal communication, and integrate everything with the ERP system for smooth data exchange.

The Solution

We delivered and configured the ChiliWorkflow system to match the university’s needs, splitting the implementation into three main areas: administration, research & development, and ERP integration.

On the admin side, the system supports office work and departmental secretariats, improves internal communication through announcements, and automates the purchase invoice workflow. In the R&D area, it helps manage research projects, methods, and laboratories, while also handling applications for conferences, training, and equipment purchases.

Finally, the system is integrated with the ERP, enabling smooth data exchange and keeping key information consistent across all systems.

The Results

The ChiliWorkflow system has been running continuously since 2013 and has become a key tool supporting ITB’s daily operations.

With its document modules and administrative workflows, the institute efficiently processes around 1,000 purchase invoices every month and over 8,000 different cases annually. On the research side, the system supports the management of more than 3,500 research methods and nearly 4,000 laboratory equipment items.
